Property Management Admin Coordinator in Cebu

We are looking for a highly organized and proactive Admin Coordinator to support the Property Management Department of a major Australian property group. This role involves preparing draft leasing documentation, coordinating invoicing, compliance systems, plant registrations, contractor onboarding, and supporting the wider property management team across multiple systems. 

You’ll be working with property managers, assisting with reporting, data management, and maintaining key compliance platforms such as CM3, and C8. Prior experience in property administration for an Australian company is highly desirable. 

Primary Responsibilities:

Invoicing & Accounts Support 

  • Assist with preparation of draft leases and licence agreements. 
  • Process AP invoices for the Property Management Department. 
  • Handle AFSS invoicing (management fees to owners and council charges). 

Compliance & Plant Registration 

  • Manage SafeWork NSW plant item registrations. 
  • Ensure timely and accurate registration. 
  • Provide plant item certificates to Facilities Managers. 

System Management & Support 

  • Oversee and manage the CM3 platform: 
  • Contractor and tenant email communications. 
  • Site/tenancy/vendor updates. 
  • Training and ongoing support for staff and Real Trust partners. 
  • Vendor onboarding. 
  • Support C8 system vendor onboarding and disbursement enquiries. 

Internal & External Coordination 

  • Respond to emails in the relevant inbox. 
  • Support the Team where required 
  • Liaise with external providers (CM3, AESC). 
  • Maintain and update contract registers and site-specific manuals. 

Ad Hoc Tasks 

  • Various administrative and project-related tasks.

Qualification:

  • At least 2 years of experience in an administrative or coordination role. 
  • Experience working with Australian clients, ideally in property or facilities management. 
  • Familiarity with systems such as CM3, and/or C8 is a big advantage. 
  • Strong communication and coordination skills. 
  • Excellent English – written and spoken. 
  • Proficient with Microsoft Excel, Google Sheets, and online platforms.
