Admin24Seven is hiring a Repairs & Maintenance Administrator in Pampanga to support Australian property management teams.

In this role, you will coordinate property maintenance requests, organise repairs with contractors, and track work orders to ensure issues are resolved efficiently. You will act as the key link between property managers, tenants, and service providers, helping keep maintenance tasks organised and completed on time.

This position is ideal for someone who enjoys coordinating tasks, communicating with different stakeholders, and keeping systems updated and organised. Experience in Australian property management, maintenance coordination, or real estate administration is highly valued.

You will be part of a collaborative onsite team based at Marquee Mall, Angeles City, working a fixed dayshift schedule with weekends off while building long-term career opportunities in the property management industry.

Role Overview & Key Responsibilities

The Repairs & Maintenance Administrator supports Property Managers by coordinating property repairs, managing maintenance requests, and ensuring all work orders are tracked and completed efficiently.

This role acts as the central point of coordination between tenants, property managers, and contractors, helping ensure maintenance issues are resolved quickly and professionally.

Key Responsibilities

    • Receive and log maintenance requests from tenants, property managers, or owners.

    • Review maintenance requests and gather required details, photos, and supporting information.

    • Create and manage maintenance work orders in property management systems.

    • Coordinate with approved contractors and tradespeople to schedule repairs.

    • Request and track repair quotes from contractors when required.

    • Submit quotes to Property Managers or owners for approval before works commence.

    • Schedule repair appointments between tenants and contractors.

    • Follow up contractors to ensure repairs are completed within agreed timelines.

    • Track the status of all open maintenance jobs and ensure proper documentation.

    • Update property management software with job progress, notes, invoices, and completion updates.

    • Communicate updates to Property Managers, tenants, and owners when required.

    • Ensure invoices and maintenance records are accurately recorded and properly filed.

    • Assist Property Managers with maintenance reporting and job tracking.

    • Monitor urgent maintenance issues and help escalate priority repairs when necessary.

What We’re Looking For

  • Experience in Australian property management or maintenance coordination is highly desirable.

  • Familiarity with PropertyMe or similar property management software is an advantage.

  • Strong organizational and task-tracking skills.

  • Excellent communication and coordination skills.

  • Ability to manage multiple repair requests simultaneously.

  • Strong attention to detail and ability to document and track job progress accurately.

  • Comfortable working with contractors, tenants, and property managers.

  • Tech-savvy and able to learn new systems quickly.
